Part enquiry
Look up any part by number, vehicle or OEM/aftermarket cross-reference.
Stock check
Real-time availability across every warehouse and bin location.
Sale & VAT invoice
FTA-compliant invoice at the counter — or straight from a GMS job card.
Stock updates itself
Sold and job-card parts are deducted instantly — no double entry.
Reorder triggers
Stock hits the minimum and a purchase order is raised automatically.
Receive & restock
Compare supplier prices, receive into bins — and the cycle continues.
Everything a spare parts business needs
From catalog management to supplier orders and stock control — built for UAE parts businesses.
Parts Catalog
Structured catalog with OEM and aftermarket part numbers, vehicle compatibility, images and technical specifications. Cross-reference and supersession chains built in.
Smart Purchase Orders
Create POs with one click when stock drops below minimum. Compare supplier prices side by side. Track order status from raised to received.
Multi-Warehouse Stock
Real-time stock across multiple warehouses and bin locations. Expiry date tracking for time-sensitive parts. Full movement history per part.
Auto Reorder Rules
Set minimum and maximum stock levels per part per location. The system raises purchase orders automatically before you run out.
Supplier Management
Supplier profiles with price lists, performance ratings, payment terms and full purchase history. Know which supplier delivers best and fastest.
Part Compatibility
Look up parts by vehicle make, model and year. Cross-reference OEM to aftermarket. Flag superseded parts and direct staff to the current equivalent.
VAT-Ready Invoicing
UAE 5% VAT applied from your configured rates. UAE VAT invoices, credit notes and customer statements generated automatically.
GMS Integration
Direct integration with Avance GMS. Parts used on workshop job cards deducted from inventory instantly — no double entry, no discrepancies.
Barcode Scanning
Scan parts at the counter, on goods receipt and during stock counts. Barcode labels are printed from the system, so shelf, bin and invoice all refer to the same part.
Counter Sales (POS)
Walk-in counter sales with fast part lookup, cash, card or account payment, and a UAE VAT invoice printed at the counter.
Post-Dated Cheque (PDC) Tracking
Record post-dated cheques against customer accounts with due dates and clearing status — the way UAE parts trading actually settles.
Serial, Batch & Warranty
Track serial and batch numbers where the part requires it, with warranty periods recorded against the sale so counter staff can answer a claim from the record.
Returns & Dead Stock
Process customer and supplier returns with credit notes, and use stock-ageing reports to surface slow-moving lines before they tie up working capital.
Cloud or On-Premise
Run on Avance-hosted cloud or on your own servers. The same system either way — the choice is usually driven by your IT policy and group requirements.
Why spare parts businesses choose Avance
Who uses Avance Spareparts
Most commonly automotive parts trading — but the underlying approach carries across parts businesses.
A car parts trading company, built from scratch
A Dubai car parts trader moved off spreadsheets and a disconnected invoicing tool. We built the catalogue, stock and counter operation from the ground up, then put an owner’s dashboard on top of it.
Illustrative dashboard with sample data. Figures are representative of a mid-size counter and wholesale parts operation, not a client’s live account.
- Parts catalogue held across several spreadsheets, with no shared part numbering
- OEM and aftermarket references kept in a supplier’s PDF price list
- Counter staff calling the warehouse to check whether a part was in stock
- Invoicing in a separate tool, so stock and sales never reconciled
- Owner waiting until month end to see what the business had earned
- Single catalogue with OEM, supplier and aftermarket cross-references and supersession chains
- Bin-level stock across warehouse and counter, with min/max reorder rules
- Barcode-driven counter sales, with cash, card and transfer settled per shift
- UAE VAT invoicing and post-dated cheque tracking
- The owner’s dashboard above — sales, margin, receivables, dead stock and reorder alerts in one screen

Frequently asked questions
What is spare parts management software?
Spare parts management software tracks a parts catalogue, stock across warehouses and bins, supplier purchasing and counter sales in one system. In the UAE it also needs to produce compliant VAT invoices and handle the way local parts trading actually settles, including post-dated cheques.
Does Avance Spareparts support barcode scanning?
Yes. Parts are scanned at the counter, on goods receipt and during stock counts, and barcode labels are printed from the system so the shelf, the bin and the invoice all refer to the same part. RFID is not supported at present.
Can it track post-dated cheques (PDC)?
Yes. Post-dated cheques are recorded against the customer account with due dates and clearing status, which is how most UAE spare parts trading is settled.
Is Avance Spareparts cloud-based or on-premise?
Both options are available. It can run on Avance-hosted cloud infrastructure or on your own servers. The system is the same either way — the choice is usually driven by IT policy or group requirements.
Does it handle serial numbers, batches and warranty?
Yes. Serial and batch numbers are tracked where the part requires it, and warranty periods are recorded against the sale, so counter staff can check a claim against the record.
How do I find slow-moving or dead stock?
Stock-ageing reports show how long each line has been sitting, so you can identify slow movers before they tie up working capital. Returns to suppliers are processed with credit notes against the original purchase.
Is it only for automotive spare parts?
Automotive is the most common use, with vehicle compatibility lookups and OEM-to-aftermarket cross-referencing. The same approach — catalogue, cross-reference, multi-warehouse stock, reorder rules and counter sales — applies to industrial, electrical and general parts trading.
Can it handle multiple branches and warehouses?
Yes. Stock is tracked per warehouse and per bin location, with minimum and maximum levels set per part per location. Owners get a consolidated view across branches.
Is it ready for UAE e-invoicing?
The system produces UAE VAT invoices today. For the phased e-invoicing mandate starting 1 January 2027, invoices are exchanged through an Accredited Service Provider — see our UAE e-invoicing guide for how the connector works.
Does it support OEM part numbers and aftermarket cross-references?
Yes. A part can carry its OEM number alongside supplier and aftermarket equivalents, so counter staff can search on whichever number the customer walks in with. Supersession chains link a superseded part to the number that replaced it.
Does it integrate with the Avance GMS garage management system?
Yes. Where a workshop runs Avance GMS, parts issued to a job card are deducted from stock without being re-keyed, so the counter and the workshop work from the same stock figures.
Is the system available in Arabic?
The interface is available in English and Arabic. Support is handled by the Dubai team in English, Arabic, Urdu and French.
Can it connect to our accounting system?
Accounting and supplier integrations are available and are scoped per project rather than included in the starting price, since the work depends on which system you run and how you want the entries posted.
